Assist Property Management with the day-to-day operations, tenant relations, and accounting for assigned property or portfolio through the coordination of tenant requests and administration of maintenance services.

Reports to: Assistant General Manager

 

People

  • Communicate issues or suggestions raised by residents and tenants to strive for excellent customer service
  • Answer telephone inquiries from prospects, residents, and vendors and assist with building tours as needed
  • Primary point of contact for building vendors regarding invoices and billing issues

Product

  • Walk building common areas regularly and report issues to management and service teams
  • Regular review of building service contracts
  • Track and compare contract proposals

Profit

  • Review and approve all invoices and input to the correct GL code
  • Process employee expense reports
  • Manage water/sewer bill back process for residents and tenants
  • Assist General Manager and Assistant General Manager with completing monthly financial reviews for apartments, retail, and association
  • Monitor building utilities, receipt of invoices, and regularly update Pierce utility tacker
  • Assist accounting and management with completion of the annual primary reconciliation

Process

  • Develop and maintain all Standard Operating Procedures for managed areas
  • Ensure all valid COI’s are current for all vendors
  • Support Leasing Manager and AGM as needed:
    • Conduct site tours when Leasing Manager is unavailable
    • Assist with renewal discussions and paperwork as needed
    • Prepare and deliver communication to residents and tenants of upcoming property or apartment work through Rent Café or direct correspondence as needed
  •  Complete quarterly audit of files
  • Complete archive of files, invoices, and checks
  • Update Personal Property Documentation and Census for the City of Boston annually

  • College degree preferred.
  • Real Estate of business-related course of study preferred
  • Excellent communication, organizational, and leadership skills necessary
  • Ability to interpret, evaluate, and communicate detailed written or verbal instructions to other accurately and quickly, including answering phones, attending meetings, written correspondence, or other forms of communication
  • Ability to lift, push, pull or carry up to 15 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/facility
